How to Migrate from Quickbooks Desktop to Quickbooks Online

1. Choose the Right Online Plan

Before you even begin, you must first select the QuickBooks Online subscription that fits your business needs. 2. Clean and Prep Your QuickBooks File

When clients come to us, it’s rarely just about the software. They’re also looking for clarity in their data or in their processes. They’re tired of outdated files, cumbersome workarounds, or systems that only one person in the office truly understands. So, before any data moves, we clean house. That means reviewing your accounts, vendors, and customers; deleting old, inactive records; and making sure your books are fully reconciled and up to date.

This is the process we follow:

1. 1. Update Your QuickBooks Desktop
      First, we make sure you’re on the latest version before starting, otherwise you may run into errors.
   2. Clean Up Inactive Data
      We mark unused customers, vendors, and accounts as inactive. This includes deleting or voiding any unbilled charges tied to them to keep your file clean.
   3. Check File Size

   5. Save Your Sales Tax Report
      We will then download a PDF of your full Sales Tax Liability report. This will be used to re-enter adjustments later.
   6. Reconcile Bank and Credit Card Accounts
      We will categorize and reconcile all transactions in Bank Feeds to avoid missing or duplicate entries.
   7. Payroll Users
      We deactivate employees not paid this year and ensure all active employee details are complete (name, SSN, DOB, etc.). It’s important to wait 2–3 days after your last payroll run before migrating to avoid complications.
   8. Prepare for QuickBooks Payments & Time
      To move your Payments account, we then make sure your QuickBooks Online login has admin access to the same Intuit account. If you use QuickBooks Time, we will also reach out for additional setup support.

4. Import into QuickBooks Online

Next, we import your company file into QuickBooks Online. At this point, you choose whether you want to bring over all transactions or just the essentials (like lists and opening balances).
