Record Policy for CPE Webinars
Purpose This policy outlines the requirements and procedures for the retention and disposal of records for Continuing Professional Education (CPE) webinars hosted by CKH CPAs and Advisors. The primary objective is to ensure that records are managed in a manner that complies with NASBA standards.
Scope This policy applies to all employees who create, receive, or manage records for all CPE webinars on behalf of CKH CPAs and Advisors. It includes both physical and electronic records.
Policy Statement CKH CPAs and Advisors is committed to maintaining records in a manner that ensures their accuracy, integrity, and availability for a minimum of five years. This policy specifies the types of records to be retained and the required retention period.
Retention Requirements
The following records will be retained on the CKH CPAs and Advisors server for a minimum of five years:
- Records of Participation
- Documentation of individuals’ participation in programs and events.
- Dates and Locations of Program Offerings
- Records detailing the specific dates and locations where programs were offered.
- Author/Instructor, Author/Developer, and Reviewer Information
- Names and credentials of authors, instructors, developers, and reviewers.
- For CPAs and tax attorneys:
- State of licensure
- License number
- Status of license
- For enrolled agents:
- Enrolled agent number
- Number of CPE Credits Earned by Participants
- Records indicating the number of Continuing Professional Education (CPE) credits earned by each participant.
- Results of Program Evaluations
- Documentation of the results and feedback from program evaluations.
- Program Descriptive Materials
- Course announcement information and other descriptive materials related to the program offerings.
Disposal of Records
- Records that have met their retention requirements and are no longer needed for business, legal, or historical purposes will be securely disposed of. The disposal process will ensure that records are destroyed in a manner that protects sensitive information.
Compliance
- CKH CPAs and Advisors will ensure that record retention meets the CPE Standards. Reference: Standard No. 24, which requires program sponsors to retain adequate documentation (electronic or paper) for at least five years to support their compliance with these standards and the reports required of participants.
Review and Amendments CKH reserves the right to review and amend this policy periodically. Changes will be communicated to participants through our official website.
